UAE Cold-Chain Delivery RFQ: A Brief for Multi-Site Clinic Routes

For a useful quotation, send the route, the product owner’s temperature requirement, the load at each stop and the delivery frequency. Agree who packs, receives, handles exceptions and reviews the records before booking a recurring round. A single origin and destination cannot describe a route serving several clinics.

This brief is for organizations arranging temperature-sensitive business deliveries within the UAE. BIOCARD’s existing UAE delivery service includes scheduled and multi-drop routes to clinics, pharmacies and hospitals. Route feasibility and the proposed scope are reviewed for each enquiry.

Start with the business requirement

An RFQ, or request for quotation, should let operations assess the work and procurement compare the same scope. Include:

  • Organization and contact: company, your role and a reachable business phone or WhatsApp number; identify the person approving the route and the product requirements.
  • Product and temperature: product category, the required range supplied by the product owner, and any written handling restrictions. Flag different ranges as separate requirements.
  • Route and load: collection point, each receiving site, package count, packed dimensions and gross weight by stop. State whether these figures describe a typical run or a peak load.
  • Frequency and timing: intended operating days, shipments per run, proposed start date and any variation in demand. Separate the time cargo is ready from the receiving window at each clinic.
  • Decision needed: a route proposal, a scoped quotation or a discussion of a monitored pilot. State what your team needs to approve next.

Use product and business details only. Do not include patient names, medical records or other identifiable health information.

Build a stop-by-stop route matrix

Fill in a row for every collection, delivery and return leg. This is an illustrative briefing format, not a confirmed BIOCARD route or schedule. Keep access instructions and receiving contacts with the relevant site.

On smaller screens, scroll the table horizontally to see all columns.

Multi-site route brief: replace the prompts with your business requirements.
Route pointLoad and temperature requirementReady / receiving windowHandover and exception instruction
Collection: distributor / originTotal packages, packed sizes, gross weight and required range for each loadWhen packed cargo is ready; dispatch cutoff to discussWho releases it; who packs and starts the agreed monitoring
Clinic A: address / emiratePackages to unload; identify any distinct rangeReceiving hours; booking or access requirementReceiving role and backup contact; whom to call if unavailable
Clinic B: address / emiratePackages to unload; remaining cargo after this stopReceiving hours; booking or access requirementReceiving role; agreed instruction if the stop cannot be completed
Return leg, if neededEmpty packaging / equipment, or separately described returned goodsCollection and return constraintsWho owns the items; return destination and acceptance contact

Do not assume the order entered is the final driving sequence. Ask the provider to review the receiving windows together. Flag any stop that cannot move and any return of goods requiring a separate assessment.

Make the quotation comparable

Ask each provider to state what is included, excluded or still subject to review:

  • Transport and stops: collection, each drop, waiting, an unsuccessful handover, a changed route and a return leg.
  • Packaging and preparation: who supplies, conditions and packs the container; who retrieves reusable packaging and monitoring equipment.
  • Records: what delivery evidence and temperature report are proposed, who receives them and who reviews an exception.
  • Commercial assumptions: the load and frequency used for the quotation, taxes, additional charges and the process for approving changes.

Treat an unanswered item as an open question, rather than an included service. Published UAE delivery rates are a starting reference; request confirmation against your actual multi-site brief. If your team intends to operate its own courier route, the separate rent-or-buy guide addresses that packaging decision.

Agree acceptance before a pilot or first run

Ask whether a monitored pilot is appropriate and agree its scope before booking. Use an acceptance checklist your operations and quality teams can review:

  • The assessed route, payload, receiving windows and temperature requirements are recorded.
  • Packing, monitoring and handover responsibilities are assigned to named functions.
  • Each site knows how to receive the shipment and whom to contact if it cannot.
  • A delay, failed delivery or temperature exception has an escalation contact and an agreed decision process; nobody improvises product acceptance.
  • Delivery evidence and the agreed temperature record can be matched to the relevant shipment and reviewed by the designated person.
  • Reusable equipment and any returns have an agreed destination and owner.
  • Unresolved issues and changes required before recurring operation are recorded.

A successful trial run does not establish performance for every season, payload or revised route. WHO’s transport route profiling guidance considers representative operating conditions and variability when assessing a shipping route. Discuss the evidence your quality team needs; this checklist does not replace its approval process.

Send a brief the operations team can assess

Use the existing Request a Shipment Plan form. Enter your company in the optional shipment details, select UAE delivery and the applicable temperature requirement, and include a short route and frequency summary in “What do you need to ship?”. Keep the detailed route matrix ready for the follow-up discussion; the form does not accept an attachment.

Suggested summary to complete: “Company and role: …; product category and required range: …; collection point: …; receiving clinics and emirates: …; frequency: …; packages and packed weight: …; proposed start date: …; name and business phone: …. Please review the route and quotation scope.”
